When scheduling events that require prepayment for campgrounds or other
facilities, the leader can require a deposit from each person who signs
up for the event.
The amount of the deposit should be the total prepaid expense divided
by the number of expected participants.
No one will be fully registered until they’ve paid their deposit.
When more than the planned number of participants sign up, those signing up last will be placed on a waiting list. No deposit is required from people on the waiting list. If an opening later occurs, the leader must contact the first person on the waiting list and ask if they still wish to attend. If so, their deposit will immediately become due. If that person declines, the leader should contact the second person on the waiting list and so forth until either the waiting list is empty or the event is full. If a signed-up and paid attendee cancels, their deposit will not be refunded unless another person takes their place and pays the deposit. When the actual prepaid expenses or number of participants differs from the leader’s original estimate, the leader will calculate a new per-person cost and then collect extra money or issue refunds as appropriate. The leader may choose to waive this policy if the cost is deemed sufficiently low. |
